BookFest Author Guidelines 2025
The Event
The October BookFest is a daylong book fair event hosted by Write On The River.
The event is organized for Pacific Northwest authors (from Washington, Oregon, Idaho, and Alaska) to meet Central Washington readers and network with one another.
We accept applications from both indie and traditionally published authors.

Note: This is a juried event. Space is limited and an application does not guarantee a table. Applications will close August 31, 2025, and event coordinators will inform authors of their selection status no later than September 3.
The Event Space
The LocalTel Event Center is a 2,732 sq ft indoor space connected to Pybus Public Market. Pybus and the event center are temperature controlled, wheelchair accessible, and have on-site bathrooms, dining, and shopping. There is free parking on all four sides of the building.
Guidelines & Rules
To ensure we have a diverse offering of genres, this is a juried event.
No subletting. All vendors must apply separately. If you want to share a table with someone you can let us know in the notes on your application and we will do our best to accommodate you.
Unless you are a small press, you must only sell your own books.
Author/Small Press must have books to sell, not just give away (although you may run giveaways if you wish). Books are a required product for your table. If you have other products, they must be related to your book or the bookish lifestyle. For example: pins with your characters on them, prints of your characters, bookmarks, etc. (If you have any questions about what might be acceptable, feel free to ask.)
If the Author/Small Press chooses to sell their book through the event-provided point of sale (POS), the Author/Small Press understands that the entity providing POS will keep 40% of the pre-tax price of any book sold.
The Author/Small Press must supply their own books for sale, and bring them to the event, even if selling through the POS provider. The POS provider will NOT pre-purchase stock.
No books written or illustrated primarily by AI. No spiral bound books.
No fan fiction or fanart of characters still under copyright to anyone other than the Author/Small Press.
Author/Small Press agrees to be open during all hours of the book festival.
Author/Small Press must arrive by 8:30am or they may forfeit their space.
Author/Small Press will clean up space completely no earlier than 3pm and no later than 4:30pm.
No early takedowns. (Set-up 8:00am - 9am, BookFest 9am - 3pm, Clean-up 3pm - 4:30pm.)
Tables must be covered with a tablecloth provided by the Author/Small Press. Boxes and bins must be stowed. If you do not have a tablecloth, please let us know in advance: we will have a few extra to provide. (Half tables are 4ft x 2.6ft and whole tables are 8ft x 2.6ft.)
Feel free to decorate your space! However, the event center and this festival prohibit: balloons, fire, candles, incense, glitter, confetti, dirt, hay, chalk, items smaller than a quarter, bubbles/bubble machines, and smoke/haze machines. No pop-up tents or free-standing structures with ceilings. No sticking anything to the walls. (If you have a question about decorations please contact us.)
No alcohol allowed at the event. No smoking or vaping.
Author/Small Press cannot spread (decorate, display, etc.) outside their assigned space without permission. The Author/Small Press' space must be kept clean. (If something spills, please come get us.) Author/Small Press is required to remove all boxes/garbage at the end of the event.
No music may be played at the tables. If you want to share a bit of an audiobook, please bring headphones.
No children under twelve allowed at setup, take-down, or behind the tables without adult supervision.
Author/Small Press will conduct themselves in a business-like manner at all times. If you sell adult content, no nudity or other adult imagery may be visible at your table.
A UBI or temp UBI is required to do business in Washington State. We also recommend, but do not require vendor insurance.
Failure to follow these rules may mean the Author/Small Press will not be asked back to future events.
